This is your annual budget – you do not need to make adjustments to it or rework it for the purpose of this application, other than to show the amount of your request (column 1, line 2.A. on page 12). You may, however, need to combine some of your line items into the categories we list. Numbers should be rounded to the nearest dollar. If you are showing a deficit, give some basic explanation in the space provided.
Since your application is a proposal, it makes sense for your project budget to balance, without a profit or loss. In other words, plan a project budget that balances, with enough estimated revenue to cover the estimated expenses. If you show a loss, it indicates that you do not have adequate backing to complete the project and that overall planning is incomplete. Likewise, showing a profit indicates that you may not really need the funds you are requesting. As you plan, revisit the list of eligible expenditures (see pages 1-2). Efforts to obtain funding from sources other than the city are important. Include revenue that is anticipated from other sources and any request that is pending with another funder. All numbers should be rounded to the nearest dollar.
Most likely, your organization already has an existing financial statement that the board of directors refers to at meetings. If so, submit it in its usual form, per the application guidelines. If your organization does not already have a statement, use this sample to create one.
