DEPARTMENT / DIVISION:
Health/WIC
Work is generally performed under the general supervision of an Administrative Support Supervisor. This is clerical and office work performed within the Health Department WIC Program. Work involves standard clerical duties of a highly procedural nature including filing, sorting, arithmetical computations, posting data, keeping records, operating office machines and answering phones. Special operational skills, if required by a specific position, are generally acquired through on the job training.
SUPERVISION RESPONSIBILITIES:
None.
WORK PERFORMED:
Acts as receptionist; answers telephone and personal inquiries; schedules appointments, routes visitors and calls; secures information from appropriate sources. Processes and files participant charts, correspondence, reports and other materials, alphabetically, numerically, or by other established classification; sorts and distributes mail; prepares materials for distribution; posts data to individual records. Receives and distributes supplies; runs errands and makes deliveries; keeps routine records. Operates a variety of office equipment. Types reports and correspondence using a typewriter or word processor. Maintains inventory and supplies necessary for office operations. Lifts items weighing up to 50 pounds. Participates in WIC clinics, including: gathers intake information from participants; data entry into computer system; issues checks to participants, schedules appointments; pulls files/charts; instructs participants on how to redeem checks; assists at satellite clinics as assigned; assists Check Coordinator in handling participant-related problems as needed. Performs other related duties as needed or assigned.
PARTIAL LISTING OF MINIMUM
QUALIFICATIONS:
Graduation from high school and one year of general clerical experience, preferably in a health care or social service setting; or any equivalent combination of education and experience which would provide the following knowledge, skills, and abilities: Knowledge of general office practices, methods, and procedures. Must possess excellent customer service skills. Ability to operate a variety of modern office equipment, including microcomputers and other electronic equipment; ability to successfully complete the City Clerical Exam and typing test prior to application deadline. Ability to accurately perform clerical work of standard difficulty. Ability to process requests from multiple sources. Ability to establish and maintain effective working relationships with other City employees, volunteers, and WIC program participants. Ability to write legibly, use proper grammar and punctuation and to follow oral and written instructions. Ability to work at routine assignments for extended periods as needed. Ability to maintain composure in high pressure situations. Ability to manage time effectively. Experience related to working with infants, children and low income families. Excellent work history and attendance record.
