DEPARTMENT / DIVISION:
Municipal Court
Work is performed under general supervision with the incumbent exercising judgment and initiative in the performance of duties. This is highly varied complex or specialized office and clerical work performed in the Violations Bureau division of the Municipal Court. Work involves performing numerous duties in which set sequences of guidelines are applied to the processing of data, forms, and records while ensuring confidentiality.
SUPERVISION RESPONSIBILITIES:
Usually none; however, the employee may be required to give directions/training to new employees and interns.
WORK PERFORMED:
Provides quality customer service to all customers; creates court cases for traffic tickets, ordinance violations, and complaints; prepares summonses and witness notices; provides information related to the department's or division's policies and practices in accordance with State and Local laws, or regulatory guidelines of a clear nature; responds to inquiries with regard to fine amounts, bonds and warrant information, court dates and court information; refers telephone or direct complaints and inquiries to other staff or City departments as necessary. Assists the public with understanding court procedures as set by State statute and local court rule, specifically filing appeals, records closed under Chapter 610, bond forfeitures. Process paperwork related to court orders set by the Municipal Judge. Disseminates court related information (i.e. court orders, payment schedules, fine amounts, etc.) To the public in person and by phone. Runs all cash and financial reports and balances cash drawer. Completes requests from bonding companies for updates and information on cases with surety bonds. Maintains filing systems according to prescribed departmental procedures; sorts and files reports, cards, printouts, correspondence and other data; posts data to individual records. Performs records checks through MULES (Missouri Uniform Law Enforcement System); performs records checks for military and public; responsible for processing bonds posted on court cases. Cross-trains for related positions, as needed, and performs related duties as needed or assigned.
PARTIAL LISTING OF MINIMUM
QUALIFICATIONS:
Graduation from high school and two years of experience in general clerical or office work; or any equivalent combination of education and experience which would provide the required knowledge, skills, and abilities. Knowledge of legal procedures related to Municipal Court functions, statutes, city ordinances, and knowledge of legal terminology preferred. Knowledge of standard office practices, procedures and equipment. Ability to communicate effectively on a one on one basis with the public; ability to maintain effective working relationships with employees, other departments, officials and the public. Ability to follow oral and written instructions. Prepare routine legal documents, correspondence and memorandum. Maintain a mental capacity that exhibits sound decision making, good judgment, and mental awareness. Must maintain a strong level of confidentiality in all matters handled in the course of work. Ability to handle large sums of money and handle multiple priorities. Perform responsible clerical and administrative work involving the use of judgment and personal initiative. Skills in accounting, customer service, and operation of standard office equipment. Ability to successfully complete the City Clerical Exam and typing test prior to application deadline. Ability to work with established routines and procedures; to deal effectively with the general public and other city employees. Excellent work history and attendance record.
