Work is performed under continuing supervision with the incumbent exercising judgment in the prioritizing of daily tasks. This is highly varied general office and clerical work as well as specialized work involving scheduling of rides for para-transit clients . Work involves performing numerous duties in which set sequences of guidelines are applied to the processing of data, forms, and records and the typing of such material while ensuring confidentiality. At least 50% of time will be spent answering telephone inquiries.


    SUPERVISION RESPONSIBILITIES:
Usually none; however, the employee may be required to give directions/training to new employees and interns.


    WORK PERFORMED:
Answers the para-transit telephone as well as the general information number. Gives out information on routes, times, fares, and other information as needed by the caller. Takes down scheduling requests of para-transit clients. Schedules pick-up and drop times via computer assisted scheduling program for para-transit clients. Updates database with client information. Makes para-transit Ids for clients. Tracts usage of para-transit system using the database in the scheduling software. Interacts with dispatchers and drivers to insure efficient operation of the para-transit system. Acts as a receptionist; sells passes; gives out route information; assists customers; ascertains nature of contacts; provides information related to the department's or division's policies and practices, or regulatory guidelines of a clear nature; refers telephone or direct complaints and inquiries to other staff or City departments as necessary. Receives, sorts, and distributes incoming mail; processes reports, forms, payments, billings or other similar materials; examines for accuracy and completeness, notes discrepancies, and consults with supervisors or other employees, as appropriate, for resolution; orders & maintains office supplies for accounts payable duties; reviews budgeted monies for balances, commitments & encumbrances; operates various office equipment, including transcribers, microcomputers and other electronic equipment. Maintains filing systems according to prescribed departmental procedures; sorts and files reports, cards, printouts, correspondence and other data; posts data to individual records. Types reports and correspondence using typewriter and word processor; maintains calendars. Reviews documents for accuracy, clarity, proper grammar and syntax. Performs clerical duties for various committees which may include taking minutes as needed. Compiles and produces monthly calendar of events. Cross-trains for related positions, as needed, and performs related duties as needed or assigned.


    PARTIAL LISTING OF MINIMUM QUALIFICATIONS:
Graduation from high school and two years of experience in general clerical or office work; or any equivalent combination of education and experience which would provide the required knowledge, skills, and abilities. Knowledge of standard office practices, procedures and equipment. Knowledge of proper grammar, style, syntax, spelling, punctuation, and mathematical calculations. Knowledge of streets and main addresses within Columbia Ability to communicate effectively, both orally and in writing. Ability to perform a variety of clerical work requiring some exercise of judgment. Ability to maintain records and to prepare standard reports. Ability to make basic mathematical computations. Ability to operate a variety of office equipment, including transcribers, microcomputers, word processors and other electronic equipment; ability to successfully complete the City Clerical Exam and typing test prior to application deadline. Ability to establish and maintain effective working relationships with other employees and the general public and ease of interaction with a wide variety of individuals. Knowledge of the general geographic layout of Columbia. Excellent work history and attendance record.
