Work is performed under continuing supervision with the incumbent exercising judgment in the prioritizing of daily tasks. This is highly varied general office and clerical work. Work involves performing numerous duties in which set sequences of guidelines are applied to the processing of data, forms, and records and the typing of such material while ensuring confidentiality.
SUPERVISION RESPONSIBILITIES:
Usually none; however, the employee may be required to give directions/training to new employees and interns.
WORK PERFORMED:
Facilitates completion, collection, and flow of required forms/documents such as purchase orders, bid and proposal documents, notices, requests for information or other forms. Sets up vendors in HTE system, requests required W-9s, and sets up credit card users. Maintains various reference files; assembles and organizes data for quick and easy retrieval. Schedules appointments and meetings; gives information to callers, maintaining confidentiality of operations and records as necessary; handles or refers complaints/problems as appropriate. Prepares bid tab spreadsheet, sits in on bid opening and records vendors' quotes - if no one present for bid opening, opens and enters vendors' data into spreadsheet and/or electronic bid, posts bid tabulations for viewing by interested parties; helps maintain division Web site; submits all advertising, maintaining time requirements. Maintains payroll records; maintains and instructs on use of equipment, orders supplies. Greets callers and visitors; handles and processes incoming agency calls; screens calls and takes messages; directs inquiries to the proper source. Receives and distributes mail; assists and instructs supportive clerical work, assists with credit card training. Credit card reconciler, receives GovDeals payments/makes deposits. Demonstrates attention to detail and commitment to accurate results. Demonstrates ability to provide good customer service, deals well with customers, both internal and external. Demonstrates research and analytical skills related to financial operations. Performs related duties as needed or assigned.
PARTIAL LISTING OF MINIMUM
QUALIFICATIONS:
Graduation from high school and two years of experience in general clerical or office work; or any equivalent combination of education and experience which would provide the required knowledge, skills, and abilities. Knowledge of standard office practices, procedures and equipment. Knowledge of proper grammar, style, syntax, spelling, punctuation, and mathematical calculations. Ability to communicate effectively, both orally and in writing. Ability to perform a variety of clerical work requiring some exercise of judgment. Ability to maintain records and to prepare standard reports. Ability to make basic mathematical computations. Ability to operate a variety of office equipment, including transcribers, personal computers, word processors and other electronic equipment including various software; ability to successfully complete the City Clerical Exam and typing test prior to application deadline. Ability to establish and maintain effective working relationships with other employees and the general public. Excellent work history and attendance record. In departments where a vehicle is used to perform some duties or run errands, employee must possess/maintain valid Missouri Driver's License, excellent driving record and (in some cases) a dependable personal vehicle for on-the-job use.
