    DEPARTMENT / DIVISION:      City Manager's Office
Work is performed under general supervision of the Assistant to the City Manager with the incumbent planning and carrying out assigned duties and resolving problems according to established guidelines and procedures and exercising judgement in prioritizing of daily tasks. May also be requested to take on projects or organization of events with minimal amount of supervision. This is responsible and varied clerical/administrative work of a difficult nature. The employee is responsible for performing complex clerical work, operating with a high degree of independence over specified, standardized activity areas and refers only highly unusual or technical problems to supervisors for decision. Work involves typing letters, reports, and a variety of documents and forms, maintaining records systems, greeting the public and carrying out various related information processes.


    SUPERVISION RESPONSIBILITIES:
None.


    WORK PERFORMED:
Provides administrative support primarily to the two Assistant City Managers, which includes, but is not limited to, scheduling meetings, maintaining/updating electronic calendar, making travel arrangements, maintaining reference files, assembling and organizing, and preparing necessary reports, correspondence, etc. Generally, assists in supportive clerical work; types letters/reports, and composing other documents from rough draft, clear copy or dictaphone. Transcribes Mayor's dictation as needed. Responsible for entering requisitions and purchase orders on accounting system, and performing procurement card reconciliation. Maintains strict confidentiality of operations and requests as directed. Handles meeting arrangements for various commissions and committees and prepares minutes. Manages and distributes petty cash monies. Receives and distributes mail for 5th floor offices. Compiles, maintains and prepares a weekly calendar of events and faxes schedule of public meetings to media. Coordinates and schedules meeting room reservations in the Daniel Boone Building. Responsible for office supply inventory; ordering offices supplies. Acts as primary receptionist for 5th floor offices to competently oversee operations of the reception area. Able to problem solve questions from the public in an efficient, professional manner. Serves as backup to the Secretary to the City Manager, as needed. Performs related work as needed or assigned.


    PARTIAL LISTING OF MINIMUM QUALIFICATIONS:
Graduation from high school and at least three years of related clerical/secretarial experience; or any equivalent combination of education and experience which would provide the following knowledge, skills, and abilities: Considerable knowledge of standard offices practices and procedures, equipment and clerical techniques. Considerable knowledge of grammar, punctuation, spelling, syntax, appropriate style and arithmetic. Ability to operate a variety of office equipment, including microcomputers and other electronic equipment. Ability to communicate effectively, both orally and in writing. Considerable experience with spreadsheets and database applications. Ability to make mathematical calculations and computations accurately. Ability to maintain moderately complex records and ensure their confidentiality. Ability to successfully complete the City Clerical Exam and typing test prior to application deadline. Ability to proofread, research files, and logically organize information. Ability to follow verbal and written instructions. Ability to work under pressure and to meet deadlines. Ability to establish and maintain effective working relationships with other employees and the general public. Excellent work history and attendance record.
