Finance/Risk Management
Work is performed under the general supervision of the Risk Manager with the incumbent planning and carrying out assigned duties and resolving problems according to established guidelines and procedures. This is responsible and varied clerical/administrative work of a difficult nature. Work involves performing numerous duties in which set sequences of guidelines are applied to the processing of data, forms, review of risk management and claim information, and records and the typing of such material while ensuring confidentiality.
SUPERVISION RESPONSIBILITIES:
Generally none; however, the employee in this position provides technical guidance to other employees as a function of responsibility over specific programs or operations.
WORK PERFORMED:
Works closely with the Risk Manager; acts as a receptionist; utilizing good customer service skills; ascertains nature of contacts; handles inquiries, provides information applying to general worker's compensation rules and department policies. Deals professionally with disgruntled employees and citizens on the phone and in person. Receives, sorts, and distributes incoming mail; assists with the accurate development of various risk management reports as well as report processing and distribution. Consults with supervisor, other various department personnel and members of the public as appropriate for resolution, keeping detailed and accurate claim records at all times. Recognizes discrepancies and verifies completeness of all claims filed. Maintains strict confidentiality of operations and records required by law; maintains filing system according to prescribed departmental procedures for all claims, including medical reports on injured employees. Responsible for reviewing, researching, processing and auditing indemnity and restitutions (collecting money owed to the City) payments, general liability, vehicle and all workers' comp claims and forwards information when necessary to a third party administrator. Acts as a liaison between the various parties; assists with budget preparation, types reports and correspondence using typewriter and word processor; maintains calendars. Operates various office equipment; performs clerical duties for various committees which may include taking minutes as needed. Performs related duties as needed or assigned.
PARTIAL LISTING OF MINIMUM
QUALIFICATIONS:
Graduation from high school and at least three years of related clerical/secretarial experience and some knowledge about the insurance industry, worker's compensation, auto and general liability insurance; or any equivalent combination of education and experience which would provide the following knowledge, skills, and abilities: Knowledge of medical terminology, safety programs and safety standards preferred. Considerable knowledge of standard offices practices and procedures, equipment and clerical techniques. Considerable knowledge of grammar, punctuation, spelling, syntax, appropriate style and arithmetic. Ability to communicate effectively both orally and in writing. Ability to work with confidential records and maintain confidentiality. Ability to perform a variety of clerical work requiring some exercise of judgment. Ability to maintain records and design and prepare standard reports. Ability to proficiently use personal computers and operate a variety of office and electronic equipment. Ability to operate various software applications relating to job duties, creating reports and spreadsheets using Microsoft products such as Word, Excel or other similar types of applications. Ability to successfully complete the City Clerical Exam and typing test prior to application deadline. Ability to follow verbal and written instructions. Ability to work under pressure and to meet deadlines. Ability to establish and maintain effective working relationships with other employees, the general public, and others in highly difficult situations. Excellent work history and attendance record.
